Privacy Policy

1. Overview
Scanly is a document scanning app. The core of what Scanly does — capturing, cropping, editing, signing, protecting, and organizing your documents — happens entirely on your device. Your document content is never uploaded anywhere for these features.
Two things work differently from that, and this policy covers both in full: basic app-usage analytics, which is automatic and applies to every user, and AI Chat, an optional feature that lets you ask questions about a document, which requires signing in and uploading that specific document to our servers.
2. Information We Collect
Scanned documents (core scanner features). Your scans, edits, folders, and signatures are stored locally on your device only. We do not collect, see, or store this data on any server.
App usage analytics (all users). Scanly uses Firebase Analytics (a Google service) to understand how the app is used and to help us fix problems. This automatically collects device and usage information — device model, operating system version, app version, language, approximate country/region, and app events such as opens, screen views, and session length. It does not include your scanned documents, their content, or anything you type into AI Chat. This runs regardless of whether you use AI Chat, since it is part of the Firebase SDK the app is built on.
As part of this, the Android build declares Google Play services' standard advertising-identifier permissions (used by Firebase Analytics for basic install/usage attribution). Scanly does not show ads and does not use this identifier for advertising or ad personalization — its presence comes from the Firebase Analytics SDK itself, not from any ad integration in the app.
Account information (AI Chat only). If you choose to use AI Chat, you sign in with your Google account via Firebase Authentication. We receive your name, email address, and a unique account identifier — used only to identify your account and enforce usage limits.
Documents you choose to upload (AI Chat only). When you start a chat with a document, that specific PDF is uploaded to our server so its text can be extracted and indexed for retrieval.
Chat messages. Your questions and the AI's answers are stored locally on your device so you can see your chat history later. Our server processes each question to generate an answer but does not keep a permanent log of your conversations.
3. How We Use Your Information
- To understand overall app usage and diagnose problems, using the aggregated analytics described above.
- To extract text from an uploaded document (OCR), split it into sections, and generate a searchable index so AI Chat can find relevant parts of it.
- To generate answers to your questions using only the relevant parts of that document — not the whole document, and not other documents.
- To identify your account and track free-usage limits for AI Chat.
We do not sell your data, and we do not use your documents, chat activity, or analytics data for advertising.
4. Data Retention & Deletion
- Uploaded PDF files are automatically deleted from our server 7 days after upload.
- Extracted text and search index data for a document are automatically deleted 10 days after upload, unless a future paid plan extends this.
- Chat history stored on your device is automatically deleted 7 days after your first message in that conversation. You'll see the exact deletion date inside the chat itself.
- App usage analytics is retained according to Firebase Analytics' standard retention settings and is not tied to your name or email unless you have also signed in to AI Chat.
5. Third-Party Services
Scanly relies on the following third-party services:
- Firebase Analytics (Google) — collects the app-usage analytics described in Section 2, for all users.
- Firebase Authentication (Google) — handles Google Sign-In and identifies your account, for AI Chat users.
- Groq — an AI inference provider that generates AI Chat answers. It receives only your question and the specific document excerpts relevant to it, not your entire document or account information.
Each of these providers processes data under their own privacy terms in addition to this policy.
6. Data Security
Data is transmitted over encrypted (HTTPS) connections. Access to our server is restricted, and documents are automatically deleted on the schedule described above rather than kept indefinitely.
7. Your Choices
AI Chat is entirely optional. If you only use Scanly's scanning and editing tools, none of your documents ever leave your device. You can sign out of AI Chat at any time, and any document you've uploaded will still follow the automatic deletion schedule above regardless.
You can reset or limit the advertising identifier referenced in Section 2 at any time from your device's own settings (Settings → Privacy → Ads on most Android versions), which applies to every app on your device, not just Scanly.
8. Children's Privacy
Scanly is not directed at children under 13, and we do not knowingly collect personal information from children.
9. Changes to This Policy
We may update this policy as Scanly changes. We'll update the date at the top of this page when we do.
